Who is responsible

Dance Vision Salzburg is the controller of personal data processed for SADA enquiries, applications and activities. SADA is its educational initiative, not a separate controller. Austrian association registration number (ZVR): 1403401151.

Enquiries and programme applications

We use the information you provide to answer enquiries, assess applications, arrange auditions and discuss appropriate training. Depending on the form, this includes names, date of birth, contact details, country and city, optional postal address details, programme choices, availability, dance background, photographs, CVs and video links with any viewing password.

For a request concerning a possible contract, the basis is steps taken at your request before entering a contract (Article 6(1)(b) GDPR). For other enquiries, guardian communications and organisational contacts, we rely on our legitimate interest in responding and coordinating the academy’s activities (Article 6(1)(f) GDPR), taking account of the people affected.

Fields marked with an asterisk are needed to process that form. Optional fields may be left blank. A full postal address is not required for an initial enquiry or programme application; we may request it later for an agreed audition arrangement, enrolment, invoicing or other identified contractual purpose. Submitting a form does not subscribe you to marketing.

Parents, guardians and other contacts

For dancers under 18, our application procedure requires a parent or legal guardian’s involvement. We use their contact details to discuss the application and arrangements for the young dancer.

Where you provide another person’s details, such as an emergency contact or referee, tell them that you have done so and share this notice with them. We receive those details from you and use them only for the stated contact or reference purpose.

Applications to work with SADA

For employment or freelance opportunities, we assess the experience, qualifications, availability, work-related preferences and supporting material you choose to submit. We use these data to conduct the selection process and communicate with you. The basis is pre-contractual steps at your request (Article 6(1)(b) GDPR); limited retention for relevant legal claims may be based on Article 6(1)(f) GDPR.

Recruitment material is available only to people involved in the relevant selection or administration. Please do not include unrelated health information, identity documents or other sensitive personal information. Keeping an application for future opportunities beyond the relevant process requires a separately explained basis.

Enrolment, payments and participation

If you enrol or enter into a separate agreement with us, we also process the information needed to administer that agreement, provide training, communicate about participation and keep payment and accounting records. The bases are performance of the contract and compliance with legal obligations (Articles 6(1)(b) and 6(1)(c) GDPR). Specific programme or employment information may supplement this notice.

The initial online application does not ask for a medical history. If health information is genuinely needed for safe participation or an adjustment, we arrange this separately and explain the purpose and applicable Article 9 GDPR condition. Application photographs and audition videos are used for assessment; submitting them does not give permission for promotional publication. Any separate promotional use requires an appropriate legal basis.

Website delivery, settings and films

We process technical information, including IP address, request time and browser information, to deliver the website, maintain security and prevent misuse. The hosting service also records page-view and visitor statistics. The basis is our legitimate interest in providing, securing and understanding the use of this website (Article 6(1)(f) GDPR).

If you choose a text size, we remember that preference in your browser until you change or clear it. Unsaved application entries and selected files are held in the current page while you complete the form; they are not saved as a browser draft.

On your first visit, we use your browser’s preferred language when a supported edition is available. A language in the page address takes priority. If you choose a language yourself, we store that choice in a first-party cookie for up to one year; you can change it in the language menu or clear it in your browser. We do not use your IP address to select a language.

Our academy film is served by this website’s hosting service. The homepage film may load automatically; the Academy page film loads when you select Play.

Who receives information

Authorised academy staff and contracted providers of website hosting, secure sign-in, cloud storage, security and email services process information needed to run this website and handle enquiries and applications, including email copies for staff review and correspondence.

Where relevant, information may also be provided to our banking, accounting or professional advisers, or a competent authority when legally required. We do not sell application information.

These providers operate in the EEA and the United States, and processing may take place outside the EEA. Transfers rely on applicable European Commission adequacy decisions or EU Standard Contractual Clauses. For recipient and processing-location details, or copies of the relevant safeguards, contact info@dance.vision.

How long information is kept

  • Enquiries: deleted once the enquiry and any agreed follow-up are complete.
  • Unsuccessful or non-enrolled programme applications and audition materials: deleted once the application or audition process has closed and any agreed follow-up is complete.
  • Unsuccessful recruitment applications: deleted once the selection process has closed and any agreed follow-up is complete.
  • Disputes already underway: only the records needed for the dispute are retained until it is finally resolved.
  • Participant and contractual records: for the relationship and the applicable legal retention or claims period, limited to what is needed for that purpose.
  • Accounting and tax records: generally seven years from the end of the relevant calendar year, with longer retention where the law or an ongoing proceeding requires it.
  • Consent records: for as long as needed to demonstrate the permission given, its scope or its withdrawal. Material used with consent is reviewed if that consent is withdrawn.

Once information is no longer needed, it is deleted or anonymised, subject to applicable legal obligations. Retention of a limited record for a claim does not permit unrelated reuse of the application material.

These retention criteria also apply to email copies. Deleting a workspace record does not automatically remove mailbox or provider copies; these are handled separately when retaining, correcting or deleting information.

Your choices and rights

Depending on the applicable conditions, you may request access, correction, erasure, restriction or a portable copy of your personal data. You may object to processing based on legitimate interests on grounds relating to your particular situation, and to direct marketing at any time. Consent may be withdrawn for the future without affecting the lawfulness of earlier processing.

Contact info@dance.vision to make a request. We may need proportionate information to confirm your identity. We respond within the time limits required by the GDPR, normally one month. Admissions and recruitment decisions are made by people; this website does not make decisions with legal or similarly significant effects solely by automated processing.

You may complain to a competent data protection authority. In Austria: Österreichische Datenschutzbehörde, Barichgasse 40–42, 1030 Vienna, Austria; dsb@dsb.gv.at; www.dsb.gv.at.

Updates

We update this notice when our processing or services change. The review date identifies this version. Where a change requires further information or a new choice, we provide it at the relevant point.
